Privacy Policy
Last Updated: May 2026
1. Overview
This Privacy Policy explains how Snowflake Studios collects, uses, and shares information when you use our website, dashboard, APIs, and Discord-connected applications and automations (collectively, the "Service"). Snowflake Studios is a premium, studio-grade Discord management SaaS designed for server owners, community managers, and branded operators.
We do not sell personal information. We only share information as described below, primarily with service providers (such as payment processors and hosting infrastructure) and when required to comply with law.
2. Information We Collect
The information we collect depends on how you use the Service, what features you enable, and the permissions you grant via Discord.
- Discord Identifiers and Server Data: Discord user IDs, server (guild) IDs, and related configuration data needed to connect and operate the Service.
- Message Data: activity and event telemetry such as message IDs, timestamps, counts, channel IDs, moderation events, and other metadata. To power core moderation features — including message search, context review, and risk assessment — we also store message content from servers where the Service is active. Message content is automatically purged after 30 days. Server owners can request earlier deletion by contacting us.
- Billing and Transaction Data: subscription status, invoices, and payment-related metadata. Payment details are handled by our payment processor (for example, Stripe). We do not receive or store full payment card numbers.
- Technical and Usage Data: basic logs and diagnostics (such as device/browser information, IP address, and request logs) to secure and operate the Service.
3. How We Use Information
We use collected information to provide and improve the Service, including to:
- Power the dashboard and core features (moderation, embeds, product catalog, economy, and telemetry).
- Generate analytics and insights about server activity and system performance.
- Maintain security, prevent abuse, enforce usage limits, and debug reliability issues.
- Manage subscriptions, billing, and account status.
- Communicate with you about service updates, support requests, and important notices.
4. How We Share Information
We share information only as necessary to operate the Service and comply with legal obligations:
- Payment Processing: with our payment processor (for example, Stripe) to process transactions, prevent fraud, and manage subscriptions.
- Hosting and Infrastructure: with cloud and hosting providers we use to run and secure the Service.
- Legal and Safety: if we believe disclosure is reasonably necessary to comply with law, respond to lawful requests, protect users, or protect the security and integrity of the Service.
We do not share or disclose your information for third-party marketing purposes.
5. Data Retention
We retain information for as long as reasonably necessary to provide the Service, comply with our legal obligations, resolve disputes, and enforce agreements. Specific retention periods include:
- Message content: automatically purged after 30 days via scheduled cleanup processes.
- Moderation logs (actions, warnings, bans): retained for up to 365 days for audit and dispute resolution purposes.
- Discord identifiers and server configuration: retained while the server remains connected to the Service, and deleted upon disconnection or valid deletion request.
- Billing and transaction records: retained as required by applicable tax and accounting laws.
For Discord-related data, we process and retain data in a manner intended to comply with applicable Discord Developer Policies, including honoring valid data deletion requests as required by Discord and applicable law.
6. Deletion Requests and Your Choices
If you would like to request deletion of data associated with your Discord account or server, please contact us. We will take reasonable steps to verify and fulfill deletion requests in accordance with Discord Developer Policies and applicable law, subject to limited exceptions (for example, for fraud prevention, security, accounting, or legal compliance).
Server owners and administrators can manage Service configuration settings through the dashboard. To request early deletion of message content or other stored data, contact us or disconnect the server from the Service.
7. Security
We implement administrative, technical, and physical safeguards designed to protect information. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.
8. Children's Privacy
The Service is not directed to children under 13. If you believe a child under 13 has provided us with information, please contact us so we can take appropriate action.
9. Changes to This Policy
We may update this Privacy Policy from time to time. If changes are material, we will take reasonable steps to provide notice (for example, by posting an update on this page or through the dashboard). The "Last Updated" date reflects the most recent revision.
